The “User
Management” category contains “Roles/Permissions,” “Users,” “User Lock
Groups,” and “Role Templates.”
The “Roles/Permissions”
section will allow the review of what each permission will do when assigned.
These
permissions will guide the assignment of roles in the initial setup of the
agency’s users.
Below is an example of the permission
names within the roles/permissions.
The “Users” section will allow
for agency users to be entered.
To add a user, click the “Add User”
button and enter the user's details. When entering the user, be sure to use
a “Microsoft” associated or “outlook.com” email address that the user will be
utilizing to log into the software.
It is recommended that demographics be
added to basic information for officers. The system can generate a report
showing the department’s demographics and ratios of ticketed/arrested and
use-of-force subjects. This may be valuable for accreditation standards or citizen
inquiries.
The user’s “O-key” number (Georgia
POST training) can also be entered. This can be helpful when using the user
files as a “Rolodex” for supervisors.
User Roles Tab
Roles can be assigned using this tab. Templates
can be used by clicking the
icon.
Another feature in this section is the
“Add Roles from User.” Once a new user is created and roles are assigned, the
roles can be assigned using the previously created user profile. For example,
once one RMS reporting officer is made and the roles are assigned, additional
users can be added, and the role can be duplicated. This can be accessed by clicking
the
icon.
Signature Tab
This section allows the officer’s
signature to be uploaded and printed for e-citations and incident reports. To
use it, create a signature by scanning an image or using a touch-screen device
to save it as a “JPG.” Then either click the box to upload the image or drag
and drop.
The “User Lock Group” section
will allow users to add “restricted” groups for sensitive investigation
material. The feature will enable specific users to be assigned to a group;
only then will they have access to cases assigned to that group. This feature
is recommended for Internal Affairs-related reports and other investigative
cases, such as child sex crimes.
The “Role Templates” section allows
users to utilize prebuilt role templates to assign to users. This can be used
as a guide to create roles for new users.
